Accounting and HR Specialist
Location: Poly Electronics
Reports To: President
Poly Electronics is seeking a detail-oriented and proactive Accounting and HR Specialist to join our team. In this dynamic role, you will oversee daily accounting operations and manage all aspects of human resources, supporting both internal and external customers. Your contributions will be key to the continual improvement of our Quality Management System (QMS) and to fostering a positive workplace environment.
Key Responsibilities
- Match packing slips to vendor invoices and maintain accurate records
- Manage payroll and timecard programs, including bi-weekly payroll processing through ADP
- Prepare packing lists and provide UPS shipment backup documentation as needed
- Input vendor invoices and debit memos into the accounting system
- Ensure timely payment of accounts payable and process checks to vendors
- Communicate with vendors regarding payment status and resolve discrepancies
- Apply payments received from customers (CIA, COD, wire transfers) to accounts receivable invoices
- Generate and send customer statements upon request
- Follow up with customers on outstanding payments to ensure prompt collection
- Update bank balance sheets with deposit, A/P, and payroll payment information
- Prepare monthly bank reconciliations for management review
- Assist with answering phones and provide general office support as needed
- Participate in inventory observations and audits
- Handle overseas payments and ensure compliance with relevant regulations
Human Resources Responsibilities
- Distribute federal forms as required and ensure regulatory compliance
- Oversee all HR functions, including recruiting, hiring, E-Verify, onboarding, and maintaining employee documentation (health insurance, 401K, etc.)
- Address and resolve HR-related issues promptly and professionally
- Maintain accurate and confidential employee records
Quality and Teamwork
- Actively support and participate in the Quality Management System (QMS) and related initiatives
- Monitor KPIs and department metrics to drive continual improvement
- Foster a positive work environment and collaborate respectfully with all team members
- Communicate effectively to promote Poly Electronics’ team philosophy and objectives
- Proactively identify and recommend process improvements to enhance business operations
- Perform other duties as assigned by management
Qualifications
- Experience in accounts receivable, accounts payable, payroll, and general bookkeeping
- Familiarity with ADP payroll processing preferred
- Previous HR experience, including recruiting, onboarding, and compliance
- Strong attention to detail and organizational skills
- Excellent communication and interpersonal abilities
- Ability to handle confidential information with discretion
- Commitment to quality and continuous improvement

Inventory Control Associate
Purpose:
Poly Electronics is committed in providing adequate resources, for implementation and improvement of the QMS focusing on both our Internal & External Customers through Job Descriptions and specific Training.
This position Reports To: PURCHASING MANAGER
General Summary:
The Inventory Control Associate assists the Purchasing Manager in assuring the effectiveness of all Inventory operations for Poly Electronics in its entirety. This includes all departments in all areas company wide. Those areas include, but are not limited to: Stockroom, Production Floor, Surface Mount Dept., Packing, General Maintenance, Office Supplies and Employee Services.
Position Responsibilities:
Splice Surface Mount Inventory
Verify Component availability for Production pulls
Load Surface Mount Components onto feeders
Receives materials and confirms same with Purchase Orders
Inspects received materials to ensure conformance with expected product quality standards
Documents and retains records in accordance with Poly Electronics procedures
Assist in basic office functions as required.
Continual Improvement within areas of responsibility.
Work with the Quality department to address purchased material failures seeking supplier process and/or product improvements.
Communicates with team members in a respectful manner and conveys ideas or opinions in a way that promotes the established Poly Electronics team philosophy
Understands the importance of their role in obtaining Poly Electronics quality objectives.

The SMT Operator is responsible for the proper setup and placement of surface mount components onto circuit boards. The SMT Operator works with a variety of equipment and methods, processes and products, ensuring proper procedures are followed. This candidate must have experience working with surface mount components and machinery or at the very least be familiar with SMT practices and technology.

Position Responsibilities:
- Execute and complete individual daily tasks per schedule.
- Maintain and actively support the Poly Electronics QMS.
- Performs inspection of product and process as directed and required.
- Follows all safety policies and protocol.
- Read and understand Bills of Material (BOM).
- Pull parts from inventory according to BOM.
- Load/unload SMT parts and stage jobs.
- Follow directions and setup sheets.

- Pick and Place
- Reflow Oven
- AOI (Automated Optical Inspection)
- Board handling equipment (Conveyors and such)
- Repair and hand solder SMT components.
- Must be able to use and look through a microscope.

- High School diploma or GED required.
- Ability to read documents such as work instructions.
- Ability to walk or stand 75%- 100% of the working day.
- Ability to lift up to 30 lbs. unassisted multiple times a day.
- Ability to grasp and manipulate small parts.
